Job Summary
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our Project Director. The ideal candidate will be a self-motivated individual with exceptional communication skills and the ability to multitask in a fast-paced environment.
Responsibilities:
- Act as the primary point of contact for the Project Director, managing emails, phone calls, and correspondence in a professional manner.
- Coordinate and schedule meetings, appointments, and travel arrangements for the Project Director, ensuring optimal use of time and resources.
- Prepare and organize documents, reports, presentations, and other materials for meetings and presentations.
- Assist in project management tasks, including tracking project timelines, budgets, and deliverables.
- Conduct research and gather information as needed to support the Project Director in decision-making and project planning.
- Collaborate with internal teams and external stakeholders to facilitate communication and ensure alignment on project objectives.
- Maintain confidentiality and discretion when handling sensitive information and documents.
- Provide administrative support as needed, such as expense reporting, file management, and other ad hoc tasks.
- Proactively identify opportunities for process improvement and efficiency enhancements within the Project Director’s workflow.
- Demonstrate professionalism, integrity, and a positive attitude in all interactions with colleagues, clients, and partners.
Qualifications:
- Bachelor’s degree in business administration or any field related to architecture and construction.
- Proven experience as an executive assistant or similar role, preferably in the construction or architecture industry.
- Excellent proficiency in Microsoft Office suite, particularly Excel, with the ability to create complex spreadsheets, analyze data, and generate reports.
- Knowledgeable about artificial intelligence (AI) concepts and applications, with the ability to leverage AI tools and technologies to streamline processes and enhance productivity.
- A tech-savvy individual with a strong understanding of office technology and software applications, including AI-driven tools, project management software, and communication platforms.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent written and verbal communication skills, with a strong attention to detail.
- Ability to work independently with minimal supervision and thrive in a collaborative team environment.
- Flexibility and adaptability to changing priorities and deadlines.
- Discretion and professionalism are important when handling confidential information.
- Previous experience in project management or coordination is a plus.
