Description
- We are seeking an exceptionally well-organized and meticulous Executive Assistant to provide comprehensive support to the CEO. This role offers a unique opportunity to work closely with the leadership team, requiring the ability to manage multiple tasks in a fast-paced environment, with strong content creation and editing skills.
Main Responsibilities
Primary Contact & Communication Management:
- Act as the primary point of contact between the CEO and internal/external stakeholders, ensuring professional, timely, and confidential communication at all times.
- Manage incoming and outgoing communications, emails, and calls, filtering them based on priority and responding on behalf of the CEO when necessary.
Calendar & Travel Management:
- Organize and maintain the CEO’s daily calendar, coordinating appointments, meetings, and events with precision to optimize time.
- Arrange domestic and international travel itineraries, including flights, accommodation, and logistics, ensuring smooth and efficient travel experiences.
- Accompany the CEO during travel, ensuring all engagements and events are meticulously planned and executed.
Content Creation & Editing:
- Collaborate with the CEO on content creation, including developing scripts, reports, presentations, and engaging social media materials for various platforms.
- Assist in drafting and editing high-quality reports, letters, presentations, and business communications, maintaining accuracy and attention to detail.
- Ensure the CEO’s presentations and public-facing materials are polished, creative, and impactful.
Document Preparation & Management:
- Prepare and review all types of documents, reports, and presentations, ensuring professionalism and thoroughness before distribution.
- Maintain an organized system for document management, ensuring the CEO has easy access to all relevant materials.
Project & Task Management:
- Support the CEO in managing ongoing projects by ensuring timelines are met, progress is tracked, and team members are updated.
- Assist with key research tasks to gather information for strategic decisions, compiling relevant data and insights for the CEO.
- Ensure that follow-ups on tasks are completed and provide reminders for deadlines.
Stakeholder Liaison:
- Build and maintain strong relationships with key stakeholders, clients, and team members, ensuring seamless communication and collaboration.
- Serve as the CEO’s representative in meetings when necessary, and take detailed notes for post-meeting action plans.
Travel & Event Support:
- Provide support for any company events, meetings, or conferences, coordinating logistics and managing agendas on behalf of the CEO.
- Participate in trips to ensure meetings and engagements are well-prepared, while handling any arising issues during travels.
Requirements
- Bachelor’s Degree in Business Administration, Communications, or a related field.
- 3+ years of experience in a similar administrative or executive assistant role.
- Strong organizational skills with the ability to manage multiple tasks and projects effectively.
- Meticulous attention to detail and ability to maintain a high level of accuracy.
- Excellent time management skills and ability to prioritize tasks.
- Ability to handle sensitive and confidential information with professionalism.
- Exceptional verbal and written communication skills.
- Proficiency in content creation, editing, and social media management.
- Ability to work and execute tasks with minimal supervision.
- Strong interpersonal skills and the ability to collaborate with multiple stakeholders.
- Flexibility to travel and adjust to varying work hours as needed.
Salary
- N200,000 – N300,000 monthly.
