About Job

International Health Management Services (IHMS) is seeking a highly organized and proactive individual to join our team as a Personal Assistant. The successful candidate will provide personalized administrative support to the employer, helping them manage their busy schedule, coordinate meetings and events, handle correspondence, and undertake various tasks to ensure smooth and efficient day-to-day operations.

Responsibilities:

  1. Calendar Management: Efficiently manage the employer’s calendar, schedule appointments, meetings, and travel arrangements, ensuring all commitments are met and conflicts are resolved promptly.
  2. Communication: Serve as the primary point of contact between the employer and internal/external stakeholders, screening and prioritizing correspondence, emails, and phone calls.
  3. Administrative Support: Provide comprehensive administrative support, including drafting correspondence, preparing reports and presentations, handling expense reports, and maintaining files and records.
  4. Travel Coordination: Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, and visa processing, ensuring a seamless travel experience.
  5. Meeting Coordination: Assist in organizing meetings and events, including scheduling, preparing agendas, booking venues, arranging catering, and providing logistical support.
  6. Information Management: Organize and maintain confidential information and documents, ensuring accuracy, accessibility, and confidentiality.
  7. Task Management: Manage ad-hoc tasks and projects as assigned by the employer, demonstrating flexibility and adaptability to changing priorities.

Requirements:

  1. Bachelor’s degree preferred.
  2. Proven experience as a Personal Assistant or similar role, preferably in a corporate environment.
  3. Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
  4. Strong communication skills, both verbal and written, with a professional and courteous demeanor.
  5. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  6. Discretion and confidentiality in handling sensitive information and matters.
  7. Ability to work independently with minimal supervision, while also functioning effectively in a team environment.
  8. Flexibility to work outside regular business hours as needed, including evenings and weekends.
  9. A valid driver’s license and reliable transportation may be required.
