Manage and coordinate internal and external events/meetings for the Executive Director and act as an effective ‘gatekeeper’ while ensuring access to the Executive Director.
Prepare/coordinate taking points, pre-read materials, and agendas.
Capture complete and detailed minutes of meetings and ensure timely distribution to attendees and related staff.
Lead follow-up on post-meeting / events actions to support the Executive Director and designated staff.
Coordinate logistics including room bookings, catering, refreshments, etc.
Manage and coordinate the Head of Region travel arrangements, including accommodation, ground/air transport, and immigration / Visa/ immunization details.
Prepare and submit expense reports accurately and efficiently in line with organizational policies.
Support the Country Program team in the following areas: Manage program team calendar including prioritizing and resolving scheduling conflicts as required and Work closely with the office coordinator, coordinate logistics of project meetings and events including room bookings, catering, refreshments, etc. as well as preparing meeting materials.
Facilitate internal communication within the Country Programs office.
Maintain in good order the content of shared folders used by the Programs team.
Compose routine correspondence to support the Head of Region’s interaction with internal staff and external stakeholders.
Support to coordinate and compile material for (Foundation) Board and PST reporting.
Support distribution of correspondence from Head of Region to Country/Regional staff.
Organize and maintain documentation/files related to the Head of the Region
Build, liaise, and sustain relationships withExecutive Assistants /offices for Our Firm’s key partners, and stakeholders.
Provide backup to other (Foundation) Executive Assistants /Administrators as required.
Requirements
Interested candidates should possess a Bachelor’s Degree / HND with 3 – 5 years experience.
