Job Summary

The Administrative Staff member will play a critical role in ensuring the smooth and efficient functioning of our office. This position involves a variety of administrative and clerical tasks, ranging from managing schedules and communications to assisting with project coordination.

Responsibilities

  • Perform general office duties, including answering phones, directing calls, and managing correspondence (emails, letters, packages).
  • Greet and assist visitors, ensuring a positive and professional office environment.
  • Manage and maintain executives’ schedules, including appointments, meetings, and travel arrangements.
  • Prepare and edit documents, reports, and presentations.
  • Organize and maintain filing systems, both electronic and physical.
  • Coordinate and assist in planning company events, meetings, and conferences.
  • Handle confidential and sensitive information with discretion.
  • Order and maintain office supplies, ensuring the office is well-stocked and organized.
  • Assist with bookkeeping tasks, including invoicing and budget tracking.
  • Provide administrative support to various departments as needed.

Requirements

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in Business Administration or related field is a plus.
  • Proven experience as an administrative assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and office management software.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
  • Professional demeanor and appearance.
  • Basic knowledge of bookkeeping principles is a plus.
