Job Description

Job Summary

The Executive Assistant is responsible for planning and managing all administrative, financial, and operational activities for the CEO. She will handle the daily operations of the CEO’s office by interacting and engaging closely with employees to identify any issues and provide valuable solutions.

Responsibilities

  • Manage and organize the CEO’s calendar, and itinerary and set up all executive meetings.
  • Oversee all external and internal correspondence and inquiries relating to the CEO.
  • On behalf of the CEO, manage, communicate, and coordinate departments on special projects.
  • Prepare and deliver presentations for the CEO.
  • Identify, communicate, and manage complex potential issues on behalf of the CEO.
  • Manage information flow in a timely and accurate manner while maintaining confidentiality at all times.
  • Manage the CEO’s travel and lodging arrangements.
  • Manage all expenses/petty cash related to the CEO’s office and provide monthly reconciliation reports to finance.
  • Act as an office manager for the CEO’s office and ensure proper administration and availability of all office supplies.
  • Take minutes during meetings presided over by the CEO.
  • Support the Board of Directors and investor meetings by ensuring that they are properly organized and serviced. This will include writing agendas, entering data, compiling papers and reports, taking minutes, and following up on action items.
  • Attend external meetings and events with the CEO.
  • Manage the CEO’s social media accounts in collaboration with the content team.
  • Provide consistent cross-organizational communication and updates on strategy, objectives, and progress.
  • Build out the right metrics to measure the delivery and for teams to track progress, enabling teams to measure and track vs industry benchmarks.
  • Create Business proposals to drive B2B Sales and acquire partnership opportunities with Government agencies and other interested parties.
  • Manage trend and competitor analysis.
  • Plan and coordinate all meetings, workshops, and events which will be led by the CEO.
  • Provide operational support to implement ideas.
  • Identify and help solve core problems or opportunities within business processes.
  • Provide the CEO and other senior leaders with insight and analysis on the company’s operations and assess risk when business decisions are made.
  • Lead/provide support for special projects and initiatives.
  • Identify and provide recommendations on improvements across the organization.

Requirements

  • Bachelor’s degree in a relevant field. 
  • At least 5 years of work experience as an Executive Assistant or in a similar role.
  • Outstanding organizational, multitasking, and time management skills.
  • Excellent verbal and written communication skills, as well as a keen eye for detail.
  • Discretion and confidentiality.
  • Social media and technology savvy.
  • The ability to create designs on Canva is a plus.
